Privacy Policy

JavaMove ("we", "us", or "our") respects the privacy of our subscribers (moving company operators) and their end-customers. This Privacy Policy details how we collect, process, secure, and share information through the JavaMove multi-tenant SaaS platform and related APIs.

1. Information Collection and Processing Scope

We process several classifications of data in order to render our CRM, Dispatch, Invoicing, Compliance, and Tracking tools.

  • Subscriber Accounts: Names, corporate emails, phone numbers, password hashes, and OAuth tokens linked to active sales reps or office managers.
  • Move Intake Data: Detailed end-customer records uploaded by subscribers, including names, billing/shipping addresses, item counts, cubic volumes, valuation declarations, and damage claim details.
  • GPS Telemetry: Logged geographical coordinates of vehicles and crews executing active dispatches to render client tracking maps. Locational metadata is cached only during active moves.
  • ASR Call Transcripts: Audio files uploaded to our Whisper call intelligence transcribers are processed to extract structured inventories and contacts. Raw audio files are deleted post-processing.
  • Financial Feeds: Bank account balances, transaction references, and ledger mappings sync through secure banking API integrations to reconcile branch bookkeeping records.

2. Use of Information

We process the collected data strictly under instruction of the subscriber (acting as Controller). We use this data to calculate dispatch optimization routes, generate installment invoice structures, apply regulatory tariff pricing rates, auto-invite reviews, sync ledger records, and alert teams of compliance lock violations. We do not sell, rent, or lease customer data.

3. Secure Subprocessor Services

To deliver our secure SaaS workflows, we share structured subsets of data with our cloud infrastructure partners:

  • Database Hosting Services: For highly available cloud database persistence and tenant isolation guards.
  • Merchant Payment Gateways: For processing secure billing, payout disbursements, and deposit transactions.
  • Telecom Gateways: For delivering notifications, client SMS updates, and security check verification codes.
  • Banking API Connectors: For checking bank feed validations and automating ledgers.

4. Data Deletion and Portability

Subscribers can trigger a complete export of database records at any time via the platform backup center. Upon termination of service, data is marked for deletion and permanently deleted from production backups within 30 days, unless legally required to be retained under interstate DOT carrier records retention mandates.
